10-19-2020 Minutes
6:30 Meeting called to order by Dean Ryan, president. Those present were Ed Varela, Shannon Richards, Coach Elliott, Coach Maple, Holly Overmyer, Tammy Smith, Melany Colby
September 14th Minutes were reviewed for approval. Tammy motioned to approve, Shannon second it. Minutes Approved.
Coach Elliott gave sports highlights: Football begins district play this week. Volleyball doing well but dealing with lots of schedule changes due to COVID-19. Cross Country has JV district meet this Thursday and varsity will be the following Thursday. Tennis having matches but had a disappointing district loss to Montgomery this week. Golf is beginning play as well.
Old Business
We agreed to pay for half the balls for golf and Ed Varela wrote the check for the balls. Minutes from last month did not show that we voted to pay for half, so we need to amend minutes from last month to show that we in fact voted to pay for half the golf balls now.
We began discussion to pay for the remaining supply of balls, but Coach Maple wants to see how much the team fundraiser received this year to see if some of that money can pay for the additional cost of balls. We will table the vote until next meeting to see if we pay out the remaining cost of golf balls or the teams fundraising efforts will cover it.
Programs and Membership
Great revenue generated thus far with program ad sales and program sales at games. Current revenue is $3500
Shannon reported that we have raised $5400 in booster sale memberships with 83 members. The packaging together with each specific sport is generating more sales.
Scholarships/ Website/Social Media
Melany had trouble reaching our final candidate to issue the scholarship. A change on scholarship form should also have parent contact and email required so we can make contact if the student does not check emails. We were able to get a parent contact and she is working to get the remaining scholarship paid out this week.
A lot of discussion on how to let people know the process of applying and qualifying for the scholarship. It was suggested that we come up with a list of jobs that will help parents earn the 10 hours to meet the criteria. Not enough concession openings. We discussed finding other opportunities to give parents a chance to earn the hours.
Also, it was discussed about giving team moms (only one per team) hours toward the scholarship criteria for the time they put in. It was mentioned that we should have each team mom be auxiliary members of the board and help disseminate information to the teams to grow our club.
We need to check with Marilynn Mann to see if this is allowed.
Concessions
Julia Byrnes will no longer be on the board to run concessions. Her son was in a terrible motorcycle accident and she will be taking care of him. We need to check with Marilynn Mann to see if we just vote in another member and what that process is like. Angela Jenkins was brought up as a possible replacement and Shannon Rains and Dean Ryan will get with her to see if she has any interest.
Merchandise
It was brought up that we need administration to reach out to the town center HEB as to why Kingwood High has an enormous display of all their merchandise, and they will not allow us to have ours in there. Dean is going to talk to admin to see if they can have some pull with management. Also, questions were raised as to where the profit from the kingwood park shirts that are sold at Kroger on West Lake Houston are going. They have sign that says sales benefits the school, but our booster club has received nothing. Dean is following up with the administration on this issue as well.
No additional wish list items. Next board meeting is set for November 9th.
